What we collect, and when

We only collect information you choose to give us through this website, plus limited technical data described under “Cookies and analytics”.

If you book a free design visit, we collect your name, email address, telephone number, postcode, the type of project, and your preferred visit date and time.

If you send a general enquiry, we collect your name, email address, telephone number, postcode, the type of enquiry and the content of your message.

If you send a trade enquiry, we collect your company name, your name, job title, email address, telephone number, project name, project location, volume, programme dates, the nature of your requirement, your message, and any files you attach.

When you visit any page, our web server records your IP address, the page requested, the time, and your browser type in its access logs. This is a normal part of running a website securely.

Why we use it, and our lawful basis

  • To respond to your enquiry and arrange a design visit — our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in answering people who contact us.
  • To supply and install furniture you order — performance of our contract with you.
  • To keep the website secure and working — our legitimate interest in preventing abuse and diagnosing faults.
  • To measure how the website is used and how well our advertising works — your consent, given through the cookie banner. You can withdraw it at any time. This covers Google Analytics and Google Ads, which set cookies.
  • To count visits and see which pages people use — our legitimate interest in understanding whether the website is working. We use a privacy-focused analytics service that we host ourselves. It sets no cookies and does not track visitors across other websites. It records page, referrer and broad device and country information; the hosting server necessarily processes an IP address to receive the request.

Who we share it with

We do not sell your personal information. We share it only with the service providers we need to operate:

  • Our website and form service — form submissions are received and stored on our DigitalOcean server in London before an email notification is sent. Trade attachments are stored with the enquiry.
  • Resend — our preferred transactional email delivery provider. If it is unavailable, our configured email service is used as a fallback.
  • Microsoft — our email is hosted on Microsoft 365, so your enquiry is stored in our mailbox there.
  • Cloudflare — provides website security and Turnstile bot protection for forms, and processes technical data needed to provide those services.
  • Google — if you accept analytics and advertising cookies, Google Analytics and Google Ads receive information about your visit. The website fonts are hosted on our own server and do not contact Google Fonts.
  • DigitalOcean — our website is hosted on servers located in London, United Kingdom.

We may also disclose information if the law requires it, or to establish, exercise or defend legal claims.

Transfers outside the UK

Resend, Microsoft, Cloudflare and Google may process information outside the UK. Where a provider transfers personal data internationally, the transfer must be protected by an applicable UK adequacy regulation or appropriate contractual safeguards.

How long we keep it

Enquiries that do not lead to a sale are normally kept for up to 24 months so we can respond to follow-up questions. Order, installation, warranty and accounting records are kept for the period needed to perform the contract, honour the guarantee and meet legal obligations, normally at least six years. Security logs are kept only as long as needed to investigate abuse and operational faults. We delete or anonymise information when it is no longer needed.

Cookies and analytics

We set a small amount of essential storage in your browser to remember your cookie choice. Nothing else is set unless you press Accept on the cookie banner.

If you accept, we use Google Analytics 4 to understand how the site is used, and Google Ads to measure which adverts lead to enquiries. If you press Reject, those cookies are not set. You can change your mind at any time by clearing this site’s data in your browser, which will bring the banner back.

Your rights

Under UK data protection law you have the right to: ask for a copy of the information we hold about you; ask us to correct it if it is wrong; ask us to delete it; ask us to restrict how we use it; object to our use of it where we rely on legitimate interests; ask us to transfer it to another provider; and withdraw consent where we rely on it.

To exercise any of these rights, email info@ukb.co.uk. We will respond within one month. There is no charge in ordinary circumstances.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK supervisory authority, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

If we change how we use your information we will update this page and change the date at the top.
